This policy explains how Ursa Major Stratégie-Conseil Inc. (“Ursa Major”) collects, uses, discloses, retains and protects personal information when you use its website or contact it through the website.

Ursa Major provides strategic advisory services to owner-managers of Quebec SMEs. This policy applies to personal information collected through the website, including the contact form, and to the exchanges that follow.

The form may collect your name, company name, role and email address. You may also provide your phone number, company size, the topic of the decision or situation that concerns you, and a brief message. Later exchanges may contain information you choose to provide. Do not enter sensitive or confidential information in the form.
4. Purposes and consent
Ursa Major uses this information to understand your request, determine whether an initial conversation is appropriate, communicate with you and, where relevant, agree on what happens next. It is not used for advertising, profiling or a decision based exclusively on automated processing. Ursa Major does not sell it. Where required by law, processing is based on your consent, which you may withdraw subject to Ursa Major’s legal and contractual obligations.
5. How information is collected
Information is collected directly from you when you complete the form or contact Ursa Major. The website also produces strictly aggregate usage measurements, as described in the cookies and measurement section.
6. Service providers, disclosure and processing outside Quebec
When you submit the form, the information is validated by the website host’s server, sent over an HTTPS connection to FormSubmit, and delivered to Ursa Major by email. If JavaScript is disabled, the form is sent directly to FormSubmit. FormSubmit states that it retains submissions for 30 days. These providers may access only the information needed to provide their services. Their infrastructure may involve processing or access outside Quebec. Before such a disclosure, Ursa Major considers the relevant privacy factors and safeguards. Ursa Major may also disclose information where permitted or required by law.

Ursa Major retains a request and related correspondence for as long as needed to respond, and for no more than 24 months after the last exchange, unless a legal or contractual obligation requires a different period. Once the purposes for collecting the information have been fulfilled, information is securely destroyed or anonymized in accordance with applicable requirements.
8. Security
Ursa Major uses reasonable administrative, technical and physical safeguards proportionate to the nature of the information it holds, including access controls and encrypted transmission where appropriate. No method of transmission or storage is entirely risk-free.
9. Your rights and complaint handling
Subject to legal limits, you may ask to access, correct or delete your personal information, or withdraw consent to its use. In situations provided by law, you may also request that information cease to be disseminated or be de-indexed. Contact the privacy officer identified in section 2; Ursa Major may verify your identity before responding. Complaints are reviewed diligently and confidentially. If you are dissatisfied with the response, you may contact Quebec’s Commission d’accès à l’information.

If personal information is accessed, used or disclosed without authorization, lost or otherwise compromised, Ursa Major will take reasonable steps to reduce the risk of harm and prevent a similar incident from recurring. The incident will be recorded and, where it presents a risk of serious harm, affected individuals and the Commission d’accès à l’information will be notified as required by law.
11. Cookies and measurement
Ursa Major uses no advertising cookies, profiling tools, visitor identifiers or external audience-measurement services. The site records only aggregate counts of page views, clicks on primary calls to action, arrivals on the Contact page, form starts and submission attempts, submissions accepted by the provider, errors and, separately, clicks on email links. Only the date, language, page, action type, button placement when relevant and a total are retained for no more than 24 months in the hosting provider’s database. No IP address, device information, referrer, form data or visitor identity is recorded for this purpose.
Technical protection by Cloudflare
The site is delivered and protected through the Cloudflare infrastructure used by the hosting provider. This protection may process technical connection information and run a security script to detect automated traffic and prevent abuse. The technical __cf_bm cookie, observed on the site, supports this protection and expires after 30 minutes of continuous inactivity. It is separate from Ursa Major’s aggregate audience counters and is not used by Ursa Major for advertising. Processing may take place outside Quebec, including in the United States. Detailed infrastructure settings and retention of technical logs are managed by the hosting provider and Cloudflare.

Ursa Major maintains practices proportionate to its activities governing the personal-information lifecycle, responsibilities, incidents and complaint handling. A privacy impact assessment is conducted when required by law, including before certain technology projects or certain disclosures of information outside Quebec.

The website may contain links to third-party sites. Their privacy practices are governed by their own policies, and Ursa Major is not responsible for their content or handling of personal information.
14. Changes to this policy
Ursa Major may update this policy to reflect changes in its practices, services, technology or applicable requirements. Any material change will be published on this page with a revised update date and, where required, will be accompanied by a notice or renewed consent.
